Dear Valued Tutors,

I hope you are having a good summer and finding time to enjoy some fun outdoor activities. First, I want to thank you for your invaluable service to Literacy Volunteers of Rensselaer County. We simply would not be able to accomplish our mission without your dedication, hard work and support.

I know how much your students appreciate your time and good efforts to assist them in achieving their goals. Every week at the Literacy Office we hear from a student who will express gratitude for your support.

I would like to take a moment to talk about tutoring hours. One of the main responsibilities  a tutor has in addition to  tutoring is to report monthly the hours that the tutor and student meet for tutoring each week or report even if there were zero hours. Record of these hours is required for securing needed adult education funding from New York State and other sources. You may not be aware that a student who has zero hours for 2 consecutive months, according to New York State is to be exited from our program so it is most important that the Literacy office be aware of not only the hours you met but as well if the tutor and student are not meeting. It is also important to be updated on any change of student contact information, goals, employment status or entering any training, which the State Education Dept. also uses to measure our program and to determine the funding we will receive per year.

I know that the monthly reporting form that you need to use on our website does take a few minutes and may not be the most user-friendly, but it does provide the information we are required to collect and need to report to our funding sources.  (If you need help with the form feel free to contact Rita.)

We are most appreciative to those tutors who regularly report their hours and provide other information so that we can keep our records updated. The State Education Dept. monitors our data reporting system (ASISTS) on a regular basis so having accurate and updated information is vital.

So, I urge you as we begin a new fiscal year, if you are not already doing so to report your monthly tutoring hours using the Tutor Reporting Form found on our website by the 10th of each month.  I am providing a paper copy of the form for your reference and/or to use if you don’t have access to a computer. Your support in reporting your hours in a timely fashion is greatly appreciated.
